There is a fairly complex process that UPS Worldship requires to be set up for import and export from any program. We have written complete directions which you may view or download. What steps are required to set up the program to import and export from FedEx Quickship?
Fedex Quickship unfortunately only imports to the address book, and there is no export. But the order processor can import a file to import for the address book, and can import from the shipment archive in Fedex. If you need directions on finding and using these files, please contact us and we'll send you the latest instructions.
At this point in time we recommend upgrading to the latest version of FedEx Ship Manager as it has more advanced and simpler import and export capabilities
What steps are required to set up the program to import and export from FedEx Ship Manager?
Fedex Ship Manager can only import to the address book, but has an easy import & export capability. Version 2 of the order processor (either version) is set up with an export and import that works directly with the default import/export formats in Ship Manager.
To import to Ship Manager, simply export your file and in Ship Manager go to Databases - File Maintenance - Import. Select RECIPIENT1 IMP for the template name and enter your exported file name (or use the browse to find it) and then click OK to import. Now in the recipient ID field you can simply type the order # and all the information will be retrieved. If you use a store abbreviation then you will need to include that code and a dash before the order number.
To export from Ship Manager, go to Databases - File Maintenance - Export. Select SHIPMENT EXP for the template name and enter (or browse) to a file name for exporting and then click OK to import. In the export criteria select the range of dates to export (usually the current day) and click OK. Now use the import option in the order processor to read the exported file.
What if I don't have an outbound e-mail server (I only use Yahoo mail or Hotmail, etc.)? Can I still use the order status updates?
Since the order status updates are sent via e-mail to the Yahoo Store (not to your customer as Yahoo will send that when it gets the update), it does require an outbound mail server. You may choose to use the Y Store Tools mail server (ystoretools.com) for these updates so you can use it for your e-mail updates and confirmations will get sent to your standard e-mail address. So you are not required (though it is recommended) to have your own mail server (or your ISPs mail server).
What are the different folders for?
There are three different folders created underneath the folder where the program is installed. The folders are Database (for storing your current open orders & backups), Export (for storing all historical Quickbooks exports), and Orders (which contains your InvoiceTemplate.xls file format as well as two folders for storing the historical Excel Order Files and the XML Historical Orders for future reference).
In what order are the new orders loaded?
All new orders are loaded by default at the bottom of the grid (even if it is out of sequence with the rest of the orders). But once you have sorted the grid they will automatically be merged in sequence with the rest of the orders.
Can the program generate a packing slip & invoice for each order?
The InvoiceTemplate.xls can be set up to generate different formats (Invoice, Packing Slips, Labels from a label printer) and multiple pages for each order. One (or more) pages will be generated for each worksheet in the workbook. Each worksheet may also be designated to print to different printers as needed.
What happens if there are too many items for the packing slip?
If there are more items on an order than the number of lines on the packing slip or invoice format, the system will automatically generate additional pages as needed.
Can the program handle multiple stores?
The license for one copy of the program allows the program to only run for one store. If you need a second store (or third or fourth, etc.), simply contact us and we will send you a special copy of the program to run your additional stores. Each additional store software be sold at a discounted rate.
Can the program share data across a network?
The program can be installed at any location and will store it's order data wherever the program is installed. Many of the basic settings (except for fraud rules) are stored on the local computer, so they will need to be re-entered on a second or third computer.
What import/export formats are supported?
Currently the order processor can import and export from UPS Worldship, Starship, and the standard Yahoo Export Format. If you need an additional format, let us know and we will do what we can to make it accessible.
The browser screen just disappeared. What happened?
The browser screen can be made to disappear (and enlarge the open orders grid) by simply double clicking in the open orders grid. To make the browser reappear simply double click on the grid again.
Can I sort the open order grid?
The open order grid can be sorted by simply clicking on the column header. A small arrow will appear in the column heading to show which column is currently sorted and the direction.
I just made updates to the order status and checked the store and it wasn't updated. What happened?
The order status updates are sent via e-mail to Yahoo. The order processor also sends a summary of the orders shipped to the e-mail address in the settings menu. If you have received the summary e-mail then your e-mail update was sent and it is simply taking Yahoo some extra time to make the updates. Check back in a few minutes as it may take anywhere from 5 to 30 minutes for the updates to be applied and the status e-mails sent to your customers.
What types of entries are exported to Quickbooks?
The order processor creates sales receipts for each session in the order processor when you exit the program. There will be one sales receipt for each type of payment received (Mastercard, Visa, American Express, etc.), and if you are not just exporting the summary data, and are exporting the items for inventory, the items will all be listed on the payment method that had the greatest dollar amount. All items are exported from an order the first, and usually only, time the order is charged.
Are we allowed to run this program on multiple computers?
This program may be run on multiple computers, but the license is only for one store. If you need to run the program for a second store it is required that you purchase a second copy.
What files should be backed up?
The most key information for your order processor consists of at most 3 files. The most critical is the openorders.xml file in the database folder. The second file to backup would be the invoicetemplate.xls file in the orders folder, and lastly the OrderProcessor.rlz file from the program installation folder (generally c:\program files\y store tools\order processor\) which contains the fraud screening rules.
Will this program work on my Non U.S. Yahoo Store?
At this time the program has not been completely tested with all the international Yahoo Stores, but all our tests show it functioning perfectly so far. If you have any issues please let us know and we will resolve them.
How do I get the latest version?
The latest version of the trial can be downloaded from the product information page. Each time you start the program it will check for updates. If an update is found the web browser screen will display the notice about the new version, the updates made, and any information you need to apply the update.
